Join a local landscaping company seeking an organized and bilingual Landscape Maintenance Administrator. This position serves as the central hub for the maintenance division, acting as the primary link between field crews, management, and clients.
This is an early-morning, in-office role ideal for a professional who enjoys a fast-paced environment and variety in their workday. While based in the office, the role includes visiting crews on-site approximately once a week to provide support and deliver supplies.
Key Responsibilities
- Operations Coordination: Assist the Maintenance Manager with daily crew scheduling, route coordination, and adjustments based on staffing or client needs. Act as the main point of contact for field staff.
- Client Communication: Serve as the first point of contact for clients via phone and email. Address routine inquiries regarding schedules and services, and escalate issues when necessary. Occasionally attend after-hours client meetings.
- Billing & Finance: Support the billing process by tracking service completion and invoicing. Provide backup support for Accounts Payable, Accounts Receivable, and Payroll as needed.
- Records Management: Maintain accurate digital and paper records for work orders, schedules, and service history.
Qualifications
- Bilingual (English/Spanish) is required to effectively communicate with field staff.
- Experience: Prior administrative experience in landscaping, construction, or a similar service-based industry is preferred.
- Technical Skills: Proficiency in Microsoft Office is required; experience with QuickBooks Desktop is a plus.
- Soft Skills: Strong organizational abilities, attention to detail, and the ability to multitask in a deadline-driven environment.
- Requirements: Must possess a valid driver’s license for site visits.
Schedule: Monday – Friday, 6:00 AM – 2:00 PM / 3:00 PM
